Subscription terms in plain language.
NexGo subscriptions are governed by the NexGo Subscription Agreement signed between NexOR Optimization SRL and the Customer, completed by an Order Form (commercial terms) and a Data Processing Agreement (data protection). The summary below covers the points customers most often need to read before signing , it does not replace the signed agreement.
1. What you subscribe to
Access to NexGo, hosted on the EU Cloud Platform operated by NexOR Optimization SRL on top of Odoo SA's infrastructure. Driver-facing modules (the driver app, GeoTrack on truck tablets) are included where listed in your Order Form.
2. Term and renewal
The initial term and renewal period are set in your Order Form. Either party can terminate at the end of a term by written notice at least 30 days before that date. Outstanding fees up to the termination date remain due. We may terminate automatically if an invoice goes unpaid for three consecutive months from its original due date.
3. Services
- Bug fixing. First response within two business days, then reasonable efforts until resolution.
- Security updates. Applied without manual action on your side as soon as remedies are available.
- Support. Unlimited tickets for bug reports and standard-feature questions, during local opening hours.
Custom development, integration work, and custom training are not covered by the standard subscription and are quoted separately.
4. Pricing
Fees are set in the Order Form, exclusive of applicable taxes. We may adjust pricing on advance written notice if your fleet size changes during the term, or to reflect changes in the underlying Cloud Platform pricing published by Odoo SA.
5. Dependencies
Map visualisation requires a Mapbox token, automatic translation requires a Google Translate token, and the weather widget requires an OpenWeather token. The customer contracts those providers directly.
6. Warranties and liability
NexOR Optimization SRL is not liable for indirect, incidental, or consequential damages arising from use of NexGo. The full warranty and liability framework is set out in §5 of the Subscription Agreement.
7. Governing law
Belgian law. Disputes are subject to the exclusive jurisdiction of the courts of the registered office of NexOR Optimization SRL (Tribunal de l'entreprise du Brabant wallon, 1490 Court-Saint-Étienne).

How we handle personal data.
This policy covers personal data of visitors to this site, of prospects and customers, and of any natural person who interacts with NexOR Optimization SRL in a commercial context. If you are a user of NexGo (driver, dispatcher, customer contact) whose data is processed inside the software on behalf of one of our customers, your data is controlled by that customer. Please contact them directly. Our role in that case is governed by the Data Processing Agreement below.
Data we collect
- Visitors: IP address, browser metadata (user-agent, language), pages viewed, time and duration.
- Contact form / email: name, email, message content.
- Prospects and customers: business contact details, commercial correspondence, contract execution data.
- Billing contacts: name, billing address, VAT number, transaction history.
We do not collect special categories of personal data (Art. 9 GDPR) or criminal-conviction data (Art. 10 GDPR).

Recipients
Hosting provider (operation of the site), accountant (invoicing and tax compliance), tax authorities and public authorities where legally required. Customer data inside NexGo is hosted by Odoo SA on the EU Cloud Platform. The full sub-processor list is set out in Annex 3 of our Data Processing Agreement.
International transfers
Personal data is hosted in the European Union. We do not engage in routine transfers outside the EU/EEA for the purposes described above.
Your rights
- Access your personal data.
- Rectify inaccurate or incomplete data.
- Erase your data ("right to be forgotten"), subject to legal retention.
- Restrict processing.
- Object to processing based on legitimate interest.
- Receive your data in a portable format.
- Lodge a complaint with the Belgian Data Protection Authority (dataprotectionauthority.be).

Retention
Visitor logs are kept for up to 12 months. Customer contracts and the underlying billing records follow Belgian commercial and tax retention periods (typically seven years). Full detail is in our Data Retention Policy, available on request.
Changes to this policy
The current version of this policy is always available on this page. Material changes are notified to customers in writing.
Acting as your processor.
When customers run NexGo to manage their own operations, NexOR Optimization SRL acts as processor under GDPR Article 28. The customer remains the controller. The contractual frame for that relationship is our Data Processing Agreement, signed at on-boarding and reviewed on every material change.
The DPA covers, among others:
- Subject matter, duration, nature, purpose of the processing (Annex 1)
- Technical and organisational security measures (Annex 2)
- Sub-processors (Annex 3)
- Personal-data-breach notification procedure (48 hours from us to you)
- Data subject rights handling and forwarding obligations
- Audit rights and assistance obligations
